Responsibilities of a Group and Shared Mailbox Owner

If you have been designated as an owner on a group/shared mailbox you are responsible for maintaining the mailbox just as you would your own.

You are responsible for:

  • keeping the mailbox within the standard size limitations
    • Delete unnecessary mail items
    • Empty the deleted items folder
    • *Archive old mail
  • granting other users permission to access the mailbox folders
    • *By granting delegate access, other users can open folders, create items, respond to requests, etc. Delegate access also gives the user permission to send on behalf of the shared mailbox.
    • The Microsoft Outlook Help provides detailed information on setting up delegate access.
  • giving individual permission to access specific folders
    • If you do not want to give send on behalf of permissions, you can grant permission on individual folders.
      • Right click on Outlook Today grant the user Reviewer permission
      • Right click on the folder to be shared and grant the required permission
  • creating rules for mail messages
    • Outlook 2000: Tools Rules Wizard
    • Outlook 2003: Tools Rules and Alerts
  • Adding the group/shared mailbox to your existing profile for easier manageability.
    • Refer to the instructions under the Delegation / Sharing Information section.
