Responsibilities of a Resource Delegate

What is a resource?

A resource is anything that can be scheduled for a meeting, besides people. Examples of resources are a Conference Room, Meet Me Line, Projector, Laptop, Training Room, TV, etc.

Two options exist for managing resources:

1) Assistance Required &- A specific person(s) takes responsibility for handling all requests for the resource.

2) Automated Processing &- No one oversees scheduling so that the registered resource is booked automatically.

Option 1 &- Assistance Required

If you have been made a delegate for an Assistance Required resource, you are responsible to:

 Respond to all meeting requests sent to the resource

 Your prompt attention to requests is required to prevent delayed communication.

 Open the meeting request, view the calendar to determine availability, send the accept/decline notice

 Open the update notice, view the calendar to determine availability, send the accept/decline notice

 Open the cancel notice, update/remove from the calendar

 Answer questions pertaining to the resource

 Example: How many people can be seated in the conference room? Where can I pickup the projector? Etc.

 Most related information should be posted to the resource properties &- phone/notes tab in the Global Address List

 Handle emergency scheduling "situations"

 You may need to reorganize meetings on the calendar to accommodate an Executive's needs

 Open the existing meeting to obtain the organizer's name and then inform them that other resource arrangements need to be made

 Cleanup the mailbox as needed

 Delete unnecessary mail items in the Inbox

 You have the permissions required to Create, Edit, and Delete all items in the Calendar and Inbox folders.

Option 2 &- Automated Processing

If you have been made a delegate for an Automated Processing resource, you are responsible to:

 Answer questions pertaining to the resource

 Example: How many people can be seated in the conference room? Where can I pickup the projector? Etc.

 most related information should be posted to the resource properties &- phone/notes tab in the Global Address List
